Director of Admissions
Summary
The Director of Admissions (DA) is a full-time, exempt staff position focused on engaging, recruiting, and enrolling students and families at Villa Joseph Marie High School, the only all-girls Catholic high school in Bucks County, PA. Working collaboratively with faculty, staff, and the enrollment committee of the board, the DA designs, improves, and implements processes to achieve annual enrollment goals. This senior administrative role reports directly to the President and manages a part-time Admission Associate.
The DA will have strong interpersonal skills and be a knowledgeable, approachable, and supportive representative of VJM to all constituencies. The DA will form relationships with interested and already enrolled families, exhibit consistent professional competence, and have a positive and engaging public presence in order to achieve annual goals for engagement, inquiries, applications, and enrollment. The DA’s understanding of and support for Catholic and all-girls education must be heartfelt and clearly articulated. They will confidently use digital tools for communication, data gathering and analysis, and the overall admission process.
Key responsibilities focus on outreach/marketing, leading the admission process, and completing the enrollment cycle
Outreach/Marketing
Establish and maintain relationships

Work with feeder schools, middle school placement counselors, parent groups, and develop new feeder sources

Support and cultivate relationships with local Catholic schools and class teachers

Support and engage robust VJM parent Ambassador network

Provide and review content for social media posts, ads, print and other collateral to build initial connections with parents and students

Co-create and execute email and other outreach/communications strategies

Identify and develop new feeder opportunities to enhance enrollment
Parent Tours and Open Houses

Organize and lead tours, shadow days, and open houses (in person or remote as needed)

Design program and create regular schedule for events

Work closely with Admission Associate, Principal, and Dean of Academic Affairs to prepare the building to show the culture and mission of VJM

Engage and train faculty, staff, students, alumni, parents, in events

Host event and moderate panels and classroom experiences

Admission Process
Prospective Student Shadow Visits

Host student shadow visits and other in-person or online activities to facilitate student to student connection

Recruit, train and manage current students to host prospective students
Application Management

Review all applications for admission to VJM

Schedule engaging admin/faculty-student interviews

Organize, manage, and share data with the Admission Committee Meeting to review and decide upon all incoming students grade 9-12

Work closely with Business Office to help support equitable tuition model

Manage scholarship and financial aid distribution in partnership with the Business Office and Admission Committee, maintaining a responsible discount rate

Establish personal relationships and lines of communication with families to support their final decision to enroll at VJM

Manage waitlist and parent expectations
Retention

Host multiple retention committee meetings working with faculty, counseling, and administrative teams. Lead and track follow-up with families and students of concern
Enrollment
9th grade Orientation

Plan and host parent and student activities for newly enrolled families in spring/summer

Facilitate connection with parent ambassadors to welcome new families to the VJM community

Co-host welcome picnic in the summer before high school classes begin; includes recruiting and supporting parent and student volunteers; co-host incoming prayer service
Data analysis and communication

Collect, analyze, track, update and convey data and trends to President

Provide ongoing data and analysis to the President throughout the admission season

Maintain regular communication with business office regarding current and potential students
Qualifications
Outstanding communication skills including writing, listening, responding, public speaking, and generating marketing content

This is a full-time, exempt staff position, working throughout the calendar year. Benefits include medical, dental, pension plan (employer contributions after one year). Salaries are competitive and paid on a 12-month schedule.

Athletic Director
DUTIES AND RESPONSIBILITES:

Cultivate a Mission-centered vision for Athletics that contributes to the physical, personal, social, and spiritual growth of each VJM student-athlete

Supervise the Athletic Training and VJM Coaching Staff

Assure Assistant Athletic Director, Athletic Trainer, and VJM Coaching Staff are following state and local mandated security background checks according to VJM policy

Mentor Assistant Athletic Director, Athletic Trainer, and VJM Coaching Staff before, during, and post-season
-
Oversee the evaluation and professional development of Assistant Athletic Director, Athletic Trainer, and VJM Coaching Staff
-
In collaboration with the Athletic Trainer, assure all student-athletes are medically compliant to participate in sporting practices and/or competitions under PIAA guidelines, and have been released by parent/guardian to participate in school sponsored sports.

Oversee the recruiting and hiring of open coaching positions

Develop an Athletic Department budget within the parameters given by the Director of Finance after consultation with the Assistant Athletic Director, the Athletic Trainer, and VJM Head Coaches

Collaborate with the Director of Finance, Director of Development, and other colleagues to promote financial support of VJM Athletics

Comply with all PIAA, District One, and League by-laws and regulations

Represent VJM at all AACA League, District One, and State level meetings

Responsible for successful orientation and compliance of athletic trainer, coaching staff, athletes, and spectators regarding league, district, and state level policies and procedures

Conduct seasonal coaching staff/player/parent meetings to update and inform all parties on rules and regulations as needed

Enforce the Athletics Handbook which is consistent with the Mission of VJM

Mediate all challenges that may arise within the Athletic Department in conjunction with the Principal and Dean of Students

Respond to all Administration, Faculty, Athletic Trainer, Coaching Staff, student-athletes and parent concerns according to established protocol in a reasonable time frame

Coordinate and support the VJM Athletics Department to ensure successful

Scheduling and confirmation of all competitions, transportation, and officials/managers for home competitions

Seasonal athlete registration, payment, and eligibility requirements

Securing and/or renewing of outside rentals for required sponsored sports (Golf, Rowing, Swimming & Diving, and Tennis)

Ordering of varsity certificates, special awards, and championship banners

English Teacher - Secondary Level

Case Study Program Manager (Part-Time, Grant-Funded Position)
Position Title: Program Manager – Business Case Competition
Organization
Villa Joseph Marie High School is a Catholic college-preparatory school that empowers young women through faith, education, and service. The legacy of Villa’s foundress, Venerable Mother Maria Kaupas, and the Sisters of St. Casimir, inspires a dedicated faculty and staff to provide a nurturing community which celebrates the dignity and uniqueness of each student, doing so in the spirit of “Always more, always better, and always with love.” With over 300 students, Villa provides a student to faculty ratio of 9:1, an extensive AP and honors curriculum, 15 interscholastic sports, and over 40 clubs and organizations.
Position Summary
The successful candidate will coordinate with a small team to launch the first of its kind business case study competition. Made possible by the generosity of the Ambassador Fund, the Program Manager will help Villa Joseph Marie High School pilot a regional mission-driven business case competition and case study library. Reporting to the Director of Advancement the PM will work collaboratively with all major stakeholders, including C-Suite partners, university and corporate sponsors, participating high schools, and internal stakeholders. The Program Manager is a part time, grant-funded role. This candidate will work an average of 25 hours/week. Hourly compensation commensurate with experience and potential for health care stipend.
Key Responsibilities
The successful candidate will demonstrate:
- Develop and manage a detailed project schedule and work plan
- Assign responsibilities and monitor progress
- Provide status updates on a consistent basis to key stakeholders
- Coordinate travel for students and schedule interview meetings with identified industry leaders
- Plan and execute on-site competitions at Villa Joseph Marie High School, occurring in December and April
- Invite and communicate with regional high schools to promote team engagement and guide participation
